Questions about AI quoting for Perth businesses
Short answers from Jared Hall, who runs Caelaria.
Open the film and ask the AI assistantStart with patio builders
The assistant is an AI. It runs on DeepSeek, which processes chat text in China, so please don't share anything sensitive. Details are in the data answer and on the privacy page.
What is an AI quoting workflow?
It's a set-up that takes a customer enquiry, asks for any missing details or photos, drafts a priced quote from your own rates, and puts it in front of you to approve and send. Your price list does the maths in ordinary code. The AI reads the enquiry and writes the wording, so the AI doesn't set the price. You approve every quote before it goes out.
Who is it for?
Owner-operated Perth service businesses with about 2 to 30 staff where every job is quoted and quotes vary by size, materials or access. I start with patio builders, then aircon and solar, landscaping and fencing, roofing and painting, cleaning and other quoted work. See the pages for patios, landscaping and fencing, aircon, solar and electrical, roofing, painting and renovation, cleaning and other quoted work.
What does it cost?
The audit is free. The pilot, one quoting workflow for one main job type, is A$1,500 for my first three founding clients and A$2,900 after that (simPRO set-ups add A$600). I confirm in writing whether a founding place is open. Half is paid at kickoff and half only when draft quotes pass testing against your own price list. The monthly plan is optional and starts only if you say yes. It is A$400 a month for founding clients (held for their first 12 monthly invoices, then A$490) or A$490 standard, month-to-month with 30 days' notice, and it includes running costs up to A$100 a month. If you take the plan, the first 12 months total A$5,900 founding or A$8,290 standard. All prices are final totals in Australian dollars. I'm not registered for GST, so none is added. Extra job types are priced separately, in writing, before any work starts. I don't guarantee extra jobs, revenue or a set number of hours.
What happens in the free audit?
Twenty minutes by phone or video. We map how you quote today, work out the desk hours from your own numbers with the formula shown, and I walk through how a workflow would handle one of your enquiries. You get a one-page written summary with a fixed price, valid for 30 days. There is no card, nothing to sign and no obligation. If it isn't a fit, I'll say so.
Where is my data processed?
The AI assistant on this website runs on DeepSeek, which processes and stores data in China, where Australian privacy law may not protect it. The chat tells you this before you start. Contact details go through a separate form to my own database, hosted in Google's Sydney region, not to DeepSeek. If you type one into the chat, our server removes it before the message goes to DeepSeek. I delete chat transcripts 90 days after the last message. For a client's quoting workflow, we agree the AI provider and where data is stored in writing before any customer data flows, and I don't send your customers' data to DeepSeek. Details are on the privacy page.
Do you have clients yet?
No. Caelaria is a new Perth studio and I have no quoting clients, case studies, reviews or results to show you. The demo businesses on this site (Morrow, Northline and Kin) are fictional portfolio concepts. That is why the pilot is small, runs first in "shadow mode" on your real enquiries with nothing sent to customers, and is priced lower for my first three founding clients. You judge it on your own quotes.
How long does it take?
I aim to have one workflow live within 2 to 3 weeks of kickoff, confirmed in writing after the audit. The clock depends on your price list, 20 to 30 past quotes and access arriving on time. In week 2 the drafts run beside your normal process, marked "not sent", before anything goes live in week 3.
What do you need from me?
Your price list or rates, 20 to 30 past enquiries with the quotes you sent, your logo and quote terms, one named person who can approve drafts within a business day, and a screen-share to set up access. I never ask for passwords by email. I estimate about 6 to 7 hours of your time over the three weeks. That is my estimate, not a measured figure.
Which tools do you connect to?
ServiceM8 (depending on your plan) and simPRO have official APIs that can create quotes. Fergus has an official API that can create jobs, and I check on your account whether it can create quotes. I couldn't find a public API for Tradify, so you get an approved quote ready to copy in. Jobber, Xero, MYOB and others I check case by case, and I don't claim a connection until it is confirmed. With no job software at all, it works from your website form and email inbox.
Which parts of Perth do you work with?
Perth metro, from Joondalup to Mandurah and from the hills to the coast. Regional Western Australia is a smaller market for me. The audit is by phone or video, so location rarely matters.
Who is Jared Hall?
I'm a sole trader in Perth, Western Australia, and I run Caelaria on my own. Caelaria is one person, not a team. My ABN is 56 404 199 639, and you can check it on ABN Lookup. I build AI quoting workflows, 3D websites, custom software and AI UGC ad creative.
What else does Caelaria do?
Beyond quoting, I build immersive 3D websites and landing pages (responsive, with launch, hosting and ongoing updates), custom software shaped around how a business works, and AI UGC-style ad creative. Prices for these are not published here. Ask on the assistant or the free audit. See the studio page and the homepage film.
