AI quoting workflows for Perth service businesses
I'm Jared Hall, and I build AI quoting workflows for Perth service businesses. If every job is quoted and the price changes with the details, quoting takes time from paid work. My workflow collects whatever changes your price, drafts the quote from your own rates and puts it in front of you to approve.
See it as a storyOpen the film and ask the AI assistant
The assistant is an AI. It runs on DeepSeek, which processes chat text in China, so please don't share anything sensitive. Details are in the data answer and on the privacy page.
What it asks your customers
For removalists, pest control, pool builders and similar, it asks for whatever changes your price. For a removalist that means an item list or room count, stairs and lifts at both ends, heavy items such as a piano, packing, access and parking. For other trades we decide the list on the audit.
How it works
- Enquiries from your website form or email inbox land in one place.
- The workflow drafts one message asking for the missing details and photos. You approve the wording, and nothing is sent without your approval. Automatic sending of a standard message is a later option, only if you opt in in writing.
- Your price list and rules build the draft quote, such as truck hours, crew and travel for a removalist. Your price list does the maths and the AI writes the wording.
- Pianos, storage and interstate moves are flagged for you instead of priced.
- You approve on your phone; no quote or message goes to a customer without your approval. It's sent from your own email address, and the job can be created in your job software where a connection is confirmed.
My calculator's defaults for general service businesses: 10 quotes a week, 45 desk minutes each, 25% of that desk time taken over, about 1.9 hours a week. An estimate from defaults, not a result; you change the numbers. Formula: quotes a week × desk minutes each × share taken over ÷ 60 = hours a week.
What it doesn't do
I don't have a ready-made workflow for every trade, so the audit uses a patio sample and your rates. Caelaria is a new Perth studio with no clients or case studies yet, so my first three pilots are founding places.
What it costs
The audit is free: 20 minutes by phone or video, then a one-page written summary with a fixed price. The pilot is A$1,500 for my first three founding clients (I confirm in writing if a place is open), otherwise A$2,900; simPRO set-ups add A$600. The monthly plan is optional and starts only if you say yes: A$400 a month for founding clients (held for their first 12 monthly invoices, then A$490) or A$490 standard, month-to-month with 30 days' notice. If you take it, the first 12 months total A$5,900 founding or A$8,290 standard (before any simPRO charge). No GST is added; I'm not registered. No guarantee of extra jobs or revenue.
The full price ladder, payment split and cancellation terms are in the FAQ.
Questions other businesses ask
Who is a good fit?
Every job is quoted, quotes vary by size or access, and enquiries arrive often. Owner-run businesses with 2 to 30 staff are the usual fit.
When is it not a good fit?
If your quotes are all one-off design work, you quote fewer than about 5 a week, or you already have an instant online quote engine, I'll say so.
Does the AI set my prices?
No. Your rates do the maths in ordinary code and the AI writes the wording. I test it against 20 to 30 of your past quotes before it goes live.
Which tools does it connect to?
ServiceM8 (depending on your plan) and simPRO have official APIs. I couldn't find a public API for Tradify, so you get a ready-to-copy quote. With no job software, it works from your website form and email inbox.
Can it reply to my customers by itself?
Not at the start. Every message and quote waits for your approval. Automatic sending of a standard message, such as the missing-details question, is a later option, only if you opt in in writing.
