AI quoting for Perth landscapers, retic and fencing businesses
I'm Jared Hall, and I build AI quoting workflows for Perth service businesses. Free measure-and-quote visits eat days, and a quote promised "within 48 hours" can slip. My workflow collects the site details before you visit, drafts the quote from your own rates and flags jobs that need your judgement.
See it as a storyOpen the film and ask the AI assistant
The assistant is an AI. It runs on DeepSeek, which processes chat text in China, so please don't share anything sensitive. Details are in the data answer and on the privacy page.
What it asks your customers
For landscaping, reticulation, paving, synthetic turf, limestone retaining and Colorbond, pool or glass fencing, it asks for areas or linear metres, levels and retaining, machine access, existing retic or bore, and photos or plans. For fences it also asks about the old fence, slope, gate width and whether it's shared.
How it works
- Enquiries from your website form or email inbox land in one place.
- The workflow drafts one message asking for the missing details, photos or plans. You approve the wording, and nothing is sent without your approval. Automatic sending of a standard message is a later option, only if you opt in in writing.
- Your rates per square metre and per metre, materials and extras build the draft quote. Your price list does the maths and the AI writes the wording.
- Design-heavy jobs, retaining walls and suspected asbestos fencing are flagged for you instead of priced.
- You approve on your phone; no quote or message goes to a customer without your approval. It's sent from your own email address, and the job can be created in your job software where a connection is confirmed.
My calculator's defaults for landscapers and fencers: 8 quotes a week, 60 desk minutes each, 25% of that desk time taken over, about 2 hours a week. For design-led landscaping I use 20%. These are estimates from defaults, not results; you change the numbers. Formula: quotes a week × desk minutes each × share taken over ÷ 60 = hours a week.
What it doesn't do
It doesn't design gardens or price jobs outside your rules. Caelaria is a new Perth studio with no landscaping or fencing clients or case studies yet, so my first three pilots are founding places.
What it costs
The audit is free: 20 minutes by phone or video, then a one-page written summary with a fixed price. The pilot is A$1,500 for my first three founding clients (I confirm in writing if a place is open), otherwise A$2,900; simPRO set-ups add A$600. The monthly plan is optional and starts only if you say yes: A$400 a month for founding clients (held for their first 12 monthly invoices, then A$490) or A$490 standard, month-to-month with 30 days' notice. If you take it, the first 12 months total A$5,900 founding or A$8,290 standard (before any simPRO charge). No GST is added; I'm not registered. No guarantee of extra jobs or revenue.
The full price ladder, payment split and cancellation terms are in the FAQ.
Questions landscapers and fencers ask
Does the AI set my prices?
No. Your rates do the maths in ordinary code and the AI writes the wording. I test it against 20 to 30 of your past quotes before it goes live.
My landscaping jobs are mostly design. Will it help?
Less than it helps a fencer. Design-heavy jobs stay with you. The workflow takes over the repeatable part: collecting site details and pricing standard items.
I quote fences on the spot. Is this worth it?
If you finish quotes on site with no after-hours quoting, probably not, and I'll say so. It helps most when quotes are written at night or you chase customers for details.
What happens with old fibro fences?
It asks what the old fence is made of. Possible asbestos-cement sheeting is flagged for you, never priced automatically.
Which job software does it connect to?
ServiceM8 (depending on your plan) and simPRO have official APIs. I couldn't find a public API for Tradify, so you get a quote ready to copy in. Others I check on the audit.
